Terminology & Key Concepts

If you're new to Engage CMS, there are a few terms you'll see regularly when managing content and your digital signage network.

This guide explains the most common Engage terms and how they work together.

The Basics

A simple way to understand Engage is:

Content β†’ Playlist β†’ Schedule β†’ Device

You add Content to the Library, organise it into a Playlist, decide when the Playlist should play, and assign it to the Devices where you want the content to appear.

Other features, such as Workspaces, Templates, Labels and Power Schedules, help you organise and manage this process.

Content

Content is the media you want to display on your screens.

This can include images, videos and other supported media.

Content is stored and organised in the Library and can be added to Playlists.

Library

The Library is where your uploaded content is stored and managed.

Use the Library to upload, organise and find the media you want to use in your Playlists.

Template

A Template provides a reusable design for creating content.

Templates can contain predefined layouts and editable areas for information such as text, images or other content.

Use Content Creator to create content from a Template. Once completed, the created content is saved to the Library and can be used in Playlists.

Content Creator

Content Creator is the editor used to create or update content based on a Template.

It allows you to customise the editable parts of the Template without changing its underlying design.

Playlist

A Playlist is a collection of content that you want to display together.

Content from the Library is added to a Playlist and arranged in the order it should play.

A Playlist can then be scheduled and assigned to Devices.

Playlist Schedule

A Playlist Schedule determines when a Playlist should be active.

For example, you could schedule one Playlist for breakfast hours and another for the afternoon.

Multiple Playlists can be scheduled for the same Device.

Playlist Priority

Playlist Priority helps determine which Playlist should take precedence when multiple scheduled Playlists apply at the same time.

This allows important or time-sensitive content to be prioritised when needed.

Device

A Device represents a player or screen within your digital signage network.

Devices receive and display the content you manage through Engage CMS.

From the Devices area, you can monitor Device status, view assigned Playlists and access additional Device management options.

Device Group

A Device Group is used to organise Devices.

Think of Device Groups as folders that help structure your digital signage network and make Devices easier to find and manage.

Label

A Label is a category used to classify Devices using information relevant to your organisation.

For example:

Label: Region

Labels are particularly useful when you need a flexible way to organise, filter or target Devices.

Label Value

A Value is an option within a Label.

For example:

Label: Region
Values: North, South, East, West

A Device can have multiple Labels and Values.

Power Schedule

A Power Schedule controls when screens should be powered on and off.

It is normally used to define regular operating hours, such as store opening and closing times.

Power Scheduling controls whether the screen is operating, while Playlist scheduling controls what content should play.

Special Day Group

A Special Day Group allows different operating hours to be used on specific dates without changing the regular Power Schedule.

Special Day Groups can be used for holidays, store closures, special events or other exceptions to normal operating hours.

Power Schedule Override

An Override allows the normal Power Schedule to be temporarily ignored.

Depending on the selected Override, Devices can be kept:

  • ON
  • OFF
  • Dimmed

Set the Override to None when the Devices should return to following their normal Power Schedule.

Workspace

A Workspace is a working area within Engage CMS.

Workspaces help separate and organise content, Playlists, Devices and other information across different parts of an organisation.

Depending on your access, you may work in one or multiple Workspaces.

User Role and Permissions

A user role determines which actions and features are available to you.

The permissions included in your role may determine whether you can view, create, edit, manage or delete different items in Engage.

Your permissions work together with your Workspace access:

Workspace access determines where you can work.

Permissions determine what you can do there.

Split View

The Split View opens when you select an item in areas such as the Library, Templates, Playlists or Devices.

It provides more detailed information and access to management options without requiring you to leave the current overview page.

The information and actions available in the Split View depend on the type of item you selected.

Help & Guides

Help & Guides is the in-product help area available from your profile menu.

Here you can find feature overviews, step-by-step guides, product updates and other information to help you use Engage CMS.

How the Key Concepts Work Together

Here's an example of how these concepts come together in a typical Engage workflow:

1. Workspace
Select the Workspace you want to work in.

2. Library
Upload or find the Content you want to display.

3. Playlist
Add the Content to a Playlist and arrange how it should play.

4. Schedule
Decide when the Playlist should be active.

5. Device
Assign the Playlist to the Devices where the content should appear.

6. Power Schedule
Make sure the screens are powered on during the required operating hours.

Once these pieces are in place, Engage can deliver the scheduled content to the selected screens.
